My Best Piece of Event Planning Advice

If I could offer only one piece of event planning advice, it would be this: never assume. Assumptions are the death of smooth events.⠀⠀⠀⠀⠀⠀⠀⠀⠀

⠀⠀⠀⠀⠀⠀⠀⠀⠀

If you hear anyone in your event planning circle say the word "I assume..." or "It's safe to assume...", run the other way. And then go double check what they just said.⠀⠀⠀⠀⠀⠀⠀⠀⠀

⠀⠀⠀⠀⠀⠀⠀⠀⠀

I've been in event production for 8 years now, and every time I make the mistake of assuming, it's always come back to bite me in the ass. I assume that the bus will be there at 3 like we had discussed. I assume that the Father of the Bride knows when he's giving his toast. I assume that the band knows when to play that song.⠀⠀⠀⠀⠀⠀⠀⠀⠀

Sometimes they do, but sometimes they don't. So, we don't leave things up to chance. We never assume that someone knows where to be and what to do. ⠀⠀⠀⠀⠀⠀⠀⠀⠀

Double checking and confirming is not a personal attack on another person's ability, it's reassurance that we all are on the same page. Because at the end of the day, we're ALL human. We are busy people with multiple commitments, things on our minds, and different styles of approaching our work. What one person might assume to be the "right" way to do things may be totally off from what you, the client, actually wants.⠀⠀⠀⠀⠀⠀⠀⠀⠀

I think part of why event planners can get a bad rap is because we're always triple checking and confirming details. Trust me, I don't want to be. I would LOVE to live in a world where everyone knows exactly what to do and where to be at all times. But the reality is, any time I've made any decisions based on assumption, it's bitten me in the ass. And it will for you, too.⠀⠀⠀⠀⠀⠀⠀⠀⠀

So the moral of the event planning story is: never assume! ⠀⠀⠀⠀⠀⠀⠀⠀⠀

It's OK to re-confirm ahead of time and then talk through plans on the day-of. ⠀⠀⠀⠀⠀⠀⠀⠀⠀

There's no shame in that game.
